Create and submit a quote
Build a quote from your product catalogue, price the lines, then send it across.
A quote is built in Tradie and saved as often as you like. Submitting is a separate, deliberate act - it is the point at which your accounting system gets a copy.
Start a quote from New Quote in the nav, or from a lead or a customer, in which case the quote comes back to where you started when you are finished.
Step by step: build and send a quote
- Choose the Customer. Pick an account, or tick New customer and enter a New Customer Name for someone not yet on the books.
- Enter the Quote Title, and a Customer Reference if they gave you one.
- Check the Date and set an Expiry.
- Use Import Contact to pull a named person off the customer’s account, and Use Postal Address or Use Delivery Address to fill the address.
- Write the Description the customer will read. Add boiler-plate appends a saved block of terms or exclusions.
- Click New line for each item, pick the Product, then set Qty and Unit Price.
- Adjust Disc % or Margin % on any line that needs it.
- Pick the Quote Layout - the page design the quote prints on.
- Click Submit Quote.
Submit Quote saves and sends in one go. It is the normal way to finish a quote. Use Save as Draft to keep working on it, and the quote stays in Tradie until you come back to it. Once your accounting system holds a copy, that button reads Save without Submitting instead, and its copy is marked as behind until your next submit.
On an accounting system that cannot receive quotes, there is one Save Quote button and every quote stays a draft.
Pricing the lines
Each line carries a Cost and a Unit Price, and shows the Margin between them. Type into Margin % to work back to a price, or into Disc % to take a percentage off.
To reprice the whole quote at once, use Set one margin for every line or Set one discount for every line, then Apply to all lines. Reset to defaults puts the lines back to catalogue pricing.
Lines are priced at the customer’s own price level where your accounting system holds one, including quantity breaks. Change the customer on a quote that already has lines and Tradie asks whether to Update prices for the new account or Keep current prices.
Drag a line by its handle to reorder it.
Printing it
Print / Download PDF produces the quote on the layout you picked. A draft prints on Tradie’s own figures and is watermarked; a submitted quote prints the accounting system’s figures.
A quote you have edited since submitting does not print, because it no longer matches the copy the accounting system holds. Submit it again first.
If the quote is held for approval
A quote over your spend limit is saved as Awaiting approval rather than sent, and Tradie tells you so when you submit. Nothing reaches the accounting system until somebody approves it.
