Setting up a new company
The steps that take a new company from signing up to its team working in Tradie.
This guide is the checklist for getting a new company running on Tradie On The Move. It is written for the company’s own administrator and for the reseller or Tradie contact helping them. Work through it in order: each stage relies on the one before it.
Who does what
- Your Tradie contact or reseller creates your company and connects it to Infusion. Connecting Infusion Elite needs access to the server Infusion runs on.
- Your administrator sets up the company in the Scheduler: users, products, labour codes and the rest of the Setup Wizard.
- Your office staff and technicians come in once the setup is done.
Resellers: the Reseller checklist puts the same steps on one page, with what to collect from the customer first.
The stages
1. Provision your business
Provision your business covers what your Tradie contact sets up for you, and how you log in to the Scheduler and the Mobile app the first time.
2. Connect your Infusion system
Tradie reads your customers, jobs and products from Infusion, and posts time, materials and notes back. Which guide you follow depends on your version of Infusion:
- Connect Infusion Elite - install the Tradie connector on the server Infusion Elite runs on.
- Connect Infusion Online - enter your Infusion Online Licensee Id and Session Id.
3. Work through the Setup Wizard
The Scheduler’s Setup Wizard opens by itself for an administrator. It lists ten tasks, in this order, and each one opens the screen it needs:
| # | Task | What it does |
|---|---|---|
| 1 | Register Company Info | Your name, address and logo, and the live connection to your accounting system |
| 2 | Import Products | Bring your product list in, and choose which of it your team can use |
| 3 | Setup Labour Codes | The codes a team member picks when they log time |
| 4 | Create Users | One record per person, and the Infusion staff member they map to |
| 5 | Register Plant/Equipment | Which products are bookable on the calendar beside a person |
| 6 | Import Job Statuses | The states a job moves through - your workflow |
| 7 | Import Customers | Who you work for, synced from your accounting system |
| 8 | Import Suppliers | Who you buy from, for purchase orders |
| 9 | Review Health and Safety Hazards | The hazard register behind every on-site questionnaire |
| 10 | Review Health and Safety Controls | The controls offered against those hazards |
The wizard is the shortest path through the essentials. It is not everything you can set up - see every screen, and what it is for below.
4. Choose your company settings
A few settings change what your technicians see, or when their work reaches Infusion. Decide them before anyone starts logging time: see Choose your company settings.
5. Start working
- Book a job to a team member from the Scheduler.
- Have your office staff log time and materials on a real job in the Mobile app, so they know it well before the technicians start. See Log time.
- Set up your team’s devices, starting with one or two technicians, then the rest of the team.
- Check it arrived in Infusion - compare a finished job in Tradie with the same job in Infusion.
Every screen, and what it is for
Everything an administrator sets up, grouped by what it affects. Each one says where its information comes from, because that is the question that decides whether you fix something in Tradie or in your accounting system.
Your company and your people
| Screen | What it is | Where it comes from |
|---|---|---|
| Company info | Your business’s own details and logo, plus the state of the connection to your accounting system | Typed here. The connection details come from your Tradie contact |
| Users | One record per person - how they sign in, what they can see, which labour codes they may use, and which Infusion staff member they are | Created here. Setting up a new team member walks through one |
| Plant / equipment | Which things can be booked on the calendar beside a person - vehicles, machinery, anything you schedule | You choose, from the products already in your accounting system |
What you sell and charge for
| Screen | What it is | Where it comes from |
|---|---|---|
| Products & Quick Add | Your product list, which of it a technician can add from the field, and the one-tap Quick Add shortcuts for the handful they use constantly | Imported from your accounting system. Update from Infusion pulls in changes |
| Labour codes | The codes a team member chooses when logging time, which decide how the hours are charged | Imported from your accounting system |
| Service items | The parts a service visit on a particular piece of customer equipment usually needs, so the technician gets the list instead of working it out | Built here, from your own product list |
Who you work for
| Screen | What it is | Where it comes from |
|---|---|---|
| Customers | Who the work is for, and the sites and contacts behind each one | Synced from your accounting system - changes belong there, not here |
| Suppliers | Who you buy from, used when raising a purchase order | Synced the same way |
How a job is tracked
| Screen | What it is | Where it comes from |
|---|---|---|
| Job statuses | Every state a job can be in and the colour each one shows. This is where your workflow is actually defined | Set up here |
| Job type colours | A colour per job type, drawn as a stripe on tiles and bookings, so you can see what kind of work a day holds | The types come from your accounting system; you choose the colours. Off until you switch it on |
What your team sees on the phone
| Screen | What it is | Where it comes from |
|---|---|---|
| Mobile screen settings | Two screens - Mobile Home Screen and Mobile Allocated Jobs - that draw a technician’s phone beside the settings behind it, so you can change what is on it and see the result first | Settings, set here |
| Start work checklist | Reminders shown on a job’s Info tab, before the technician starts work | Typed here |
| Stop work checklist | Reminders shown on a job’s Close tab, as they finish | Typed here |
Time
| Screen | What it is | Where it comes from |
|---|---|---|
| Timesheet Settings | Every setting that shapes a timesheet, shown beside a worked example that redraws as you change them - including when the hours actually reach your accounting system | Settings, set here |
Safety and reference
| Screen | What it is | Where it comes from |
|---|---|---|
| Health & safety | The HnS Hazards and HnS Controls registers behind every on-site questionnaire your team fills in | Seeded with a starting set, then maintained here |
| The Document Vault | Your own library of reference documents - safety data sheets, forms, install guides, price lists - read from the Documents tile on the phone | Uploaded here |
