Set up a new team member
Add someone to Tradie, give them the right access, and get them signed in on their phone.
Everything a new starter needs lives on one form. Adding them creates their sign-in, decides what they can see and do, and - if you want them dispatched work - puts a row on the calendar with their name on it. Five minutes at the desk, then a couple of taps on their phone.
Step by step: add the user
- Open the hamburger menu on the Scheduler toolbar and choose Users.
- Click Add User.
- Fill in Name, Email and Mobile #. The email is their sign-in, and it cannot be changed afterwards - only the other fields can.
- Pick their Labour Codes - the codes they may log time against.
- Tick the access they need (see Permissions below). Show on Scheduler is the one that gives them a calendar row.
- Choose their Location, and the Infusion Staff Member they map to.
- Type a Password. This one is compulsory - the form refuses to save without it.
- Click Save.
They can sign in straight away. If you ticked Show on Scheduler, their row appears on the calendar immediately, at the bottom until you reorder it.
Permissions
| Tick | What it gives them |
|---|---|
| Is Admin | Full access, including settings and every job |
| Timesheets | The Timesheet screen, to log their own time |
| Can view all jobs | The All Jobs list, not only the jobs booked to them. All shows every job; User’s Location shows only jobs at their own Location, leaving out jobs with no location |
| Can create jobs | The ability to raise a job themselves |
| Show on Scheduler | A row on the calendar, so work can be booked to them |
| Is apprentice | Marks them as an apprentice |
| Notify if worklog left open | A nudge when they finish the day still clocked on |
| Notify when completed job | Tells them when a job they care about is completed |
Sales Portal fields
Below the password is a Sales Portal fields block - who can reach the Sales Portal, who administers leads, who is a salesperson, and what they may send without sign-off.
Quote approval limit is the one worth a thought: leave it blank and this person can send a quote of any value. Set a figure and anything above it waits for a supervisor.
These fields are greyed out until the Sales module is switched on for your business. They are shown rather than hidden on purpose, so you can see the roles exist. Admins and Sales Lead Admins can approve quotes whatever the tick says - and approving somebody else’s quote does not lift their own limit.
Their first sign-in
On the phone, the new starter signs in with the email and password you just set. The app then asks them to choose a PIN code and tap Save PIN - that PIN, not the password, is what unlocks the app from then on.
It offers fingerprint or Face ID next. Skip for now is a perfectly good answer; they can turn it on later from Settings.
Tips
- Their calendar row is in the wrong place. The order isn’t on this form - use Reorder users (the up/down arrows) on the calendar toolbar.
- Give them their labour codes on day one. Without one they can open the Timesheet screen but have nothing to book time against.
- Not dispatched work? An office user who never appears on the calendar simply doesn’t get Show on Scheduler. Everything else still applies.
Troubleshooting
- Save does nothing and asks for a password. A new user must have one. It is the only compulsory field beyond the name and email.
- They aren’t on the calendar. Show on Scheduler is unticked, or their row is further down than you expected - check the reorder screen before re-adding them.
- They can only see their own jobs. That is Can view all jobs, set to Disabled.
- Wrong email. It is fixed once the user is created. Delete the user and add them again with the right address.
