Save a form and finish it later

Park an unfinished form, pick it up on the next job, and correct one you already sent.

Overview

Not every form gets finished in one go. You are half way through an inspection when the customer needs you, or the last reading has to wait until the plant has run for an hour. Save it as a draft and it waits for you - on your phone, under Draft Checklists on the home screen.

Saving a draft

On a form that allows it, Save Draft sits beside the normal save. Tap it and the form closes with everything you have entered kept, including the parts you have not filled in yet.

Note

Not every form offers it. Save Draft only appears where the office ticked “Let the technician save an unfinished form as a draft and finish it later” when they built the form - so a form that has to be completed on the spot cannot be parked half done.

If nobody has ticked it on any form, Draft Checklists does not appear on your home screen at all, rather than leading you to an empty list.

Picking it back up

Tap Draft Checklists on the home screen and choose the one you want. It opens where you left it, and saving again either keeps it as a draft or finishes it properly - your choice each time.

A draft is yours until you finish it. Nobody is sent anything, and it is not attached to the job as a completed form, so there is no half-finished paperwork sitting in the office looking like it is done.

From the job itself

You do not have to go back to the home screen. A job’s Close tab lists that job’s unfinished drafts in its Past Checklists section, above the Load Past Checklists button, newest first. Each row reads Draft: with the date and time it was saved and the form’s name. Tap one and it opens where you left it, and closes back to the job.

This is usually the quicker way in: you are already on the job the form belongs to.

Note

Drafts appear above the Load Past Checklists button rather than behind it, because there is nothing to fetch - they are already on the phone - and an unfinished form is the thing on that list most likely to need you.

Each row also names whoever the draft belongs to. On most phones that is always you; an administrator sees everyone’s, so the name is what tells them apart.

A draft you finish from here stops being a draft, so it drops off the list and joins the completed forms under Load Past Checklists instead.

Fixing a form you have already sent

A finished form is left exactly as it was sent - it may already be with the customer, so it is never quietly edited underneath them.

To correct one, you take a copy. The copy opens as a new draft with everything already filled in; change what was wrong and finish it. Both end up on the job: the original as it was sent, and the corrected one beside it.

That is deliberate. The record of what the customer actually received stays intact, and the correction is visible as a correction rather than a rewrite of history.

Tips

  • Drafts are per form, not per job. A job can carry several, and finishing one leaves the others alone.
  • Finish drafts before they go stale. A draft holds what you entered, not the job as it was - if the work moves on, check the answers still describe it before you finish.
