Job completion alerts
Know the moment a technician finishes, instead of watching the calendar for it.
A dispatcher usually finds out a job is finished by noticing a booking change colour, or by being rung. Neither works when the Scheduler is showing a different day or sitting behind another window. Job completion alerts tell you as it happens, so the next job goes out on time.
Why you would turn this on
The people worth knowing about are the ones whose next job you are holding: the technician on short jobs who could take another this afternoon, the one on call, the apprentice you are moving between sites. When they close a job, a card appears in the corner of every open Scheduler in the office saying who finished what.
The role sits on the person who finishes the job, not on the dispatcher who wants to hear about it. That is the right way round: the office wants to know when these people free up. A business where nobody holds the role sees nothing new.
Step by step: put someone on completion alerts
- Open Users from the hamburger menu.
- Click the pencil beside the person.
- Tick Notify when completed job.
- Save.
Faster, if you are already on the calendar: right-click the person’s row and choose Notify when completed job. The entry is ticked when the role is on. This needs administrator access, because it changes what the whole office sees.
What a completion looks like
When someone holding the role moves a job out of a work-in-progress status, a card appears in the bottom-right of every open Scheduler for your business. It names the person, the job and its new status, and offers:
- Show job - jumps to that job.
- The dismiss cross on the card, or Clear all for the lot.
When more cards arrive than fit, a +2 more finished jobs chip appears below the stack. Cards clear themselves after a while, and are not stored: a dispatcher who opens the Scheduler later does not see what they missed.
What counts as finished
A job counts as finished when it moves from a work-in-progress status to one that is not - by your own job statuses, not a fixed list. So:
- Moving between two finished statuses, such as Complete to Invoiced, does not alert.
- Reopening a job never alerts.
- The screen used makes no difference. The mobile app is the normal case, but the Scheduler’s own status picker behaves the same.
Turning alerts down
Alerts are a preference of the computer you are sitting at, so muting one does not affect anyone else.
- Job completion alerts in the hamburger menu’s Display section switches them off for this browser entirely.
- Job Completion Alerts in the same menu lists who you are receiving from, and lets you undo individual mutes. Mutes are invisible otherwise, which is why the screen exists.
- Right-click a person’s row and choose Mute alerts from this user to silence one person without touching the rest.
- The same screen can raise desktop notifications, so alerts reach you when the Scheduler is behind another window.
