Settings reference
Every setting on the Scheduler's Settings screen, what it does, and its default.
This page is about . Your system is set to a different one, so the screens and behaviour here may not match what you see. Use the switch at the top of the contents to change it.
Overview
Every switch and default value that changes what your team sees in Tradie lives on one screen. This page lists each setting under the same category heading the screen uses, so a page that says “requires X” can send you straight to it.
Step by step: open the Settings screen
- Click the hamburger icon at the top right of the Scheduler.
- Under Company, click Settings. You need the Admin role to see it.
- Type in Search to filter by category, name or description.
- Change a value in place - it saves as soon as you leave the field.
“On” and “Off” below are tick boxes on the screen. Anything else is typed in.
New Job Settings
| Setting | What it does | Default |
|---|---|---|
| Enable Job Creation from Home Screen | Allows users to create new jobs. Users will also need the ‘Create Jobs’ role. | On |
| Default Job Status | The job STATUS to be applied to all new jobs created via Tradie. | blank |
| Default Job Category | The job CATEGORY to be applied to all new jobs created via Tradie. | blank |
| Default Job Location | The job LOCATION to be applied to all new jobs created via Tradie. | blank |

Job Notes Settings
| Setting | What it does | Default |
|---|---|---|
| Add Job Note text to job lines | When a new job note is created, also add it as a Note/Narrative line to the job. | Off |
| Notes as Job Lines | Add a new job note to the job as a Note/Narrative line, instead of to the job’s notes memo. Affects every note Tradie creates - work notes, the note asked for when stopping work, job completion text and timesheet notes - so those notes stop appearing in the job’s Job Notes list and appear in its transactions instead. On Infusion Elite this needs a site connector of version 2026.10.1.0 or newer; an older one keeps writing to the job’s notes memo. Accredo Saturn has no narration line, so this does nothing for sites on it. | Off |
Job Materials Settings
| Setting | What it does | Default |
|---|---|---|
| Job Materials -> Assigned Jobs | Enables users to enter materials against jobs that are assigned to them. | On |
| Job Materials -> Homescreen | Enables users to enter materials against all jobs from the homescreen. | On |
| Hide ‘Notes’ materials option | Removes Notes option from a Materials batch. | Off |

| Show In Stock Products Only | If ticked, the Job Materials product picker lists only products in stock at the user’s assigned location. Purchase orders, Quick Add Items and non-stock products (consumables, callout fees) are unaffected. | Off |
Purchase Order Settings
| Setting | What it does | Default |
|---|---|---|
| Purchase Orders -> Assigned Jobs | Enables users to create Purchase Orders for jobs that are assigned to them. | On |
| Purchase Orders -> Homescreen | Enables users to create Purchase Orders from the homescreen. | On |

Time Recordings Settings
| Setting | What it does | Default |
|---|---|---|
| Time Recording Module | If enabled, the Time Recording module will be made available to users. | On |
| Show all WIP jobs on Timesheets | If ticked, the timesheet job picker offers every job in a WIP status. If not, it offers only the tenant’s admin/special jobs, plus the user’s own Scheduler allocations and My Jobs bookings. | Off |
| Show Start/Stop buttons in Time Recording Module | If enabled, Start/Stop work buttons will be enabled in Timesheet screen. | Off |
| Show Start/End time inputs in Timesheet screen | Show Start/End time inputs in Timesheet screen | On |
| Show Comment Field | If true, users will be able to provide a Comment via the Timesheet screen that will become the Description line in Infusion | Off |
| Timesheet Note on the Product Description | What to do with a timesheet entry’s Note on the product description of the job line it posts to your accounting system. Off (the default) leaves the product description alone. Add to end appends ’ - ’ followed by the note to the product description. Replace description uses the note instead of the product description. An entry without a note is left alone either way. Anything that will not fit in the description field is added to the job as note lines instead, broken between words. | Off |
| Limit Timesheet Note to the description length | If ticked, a Timesheet Note can be no longer than what fits in the description of the job line in your accounting system, so it is never continued on extra note lines. The Note boxes on Mobile and the Scheduler stop accepting text at the limit and show how many characters are left. With ‘Add to end’ the note shares the field with the product description, so a longer description leaves less room for the note. Only applies while ‘Timesheet Note on the Product Description’ is set to Add to end or Replace description. A note that is already longer than the limit is shortened between words when it is sent; the full note stays on the timesheet entry. | Off |
| Add Timesheet Note to the job’s notes | If ticked (the default), the Note on a timesheet entry is also added to the job as a note in your accounting system - Infusion Elite puts it in the job’s Tech Notes, Infusion Online in its Tech Notes, Accredo Saturn as a job memo. Untick it to keep timesheet notes out of the job’s notes; consider setting ‘Timesheet Note on the Product Description’ to Add to end or Replace description as well, so the note still reaches the job on the charge line it explains. | On |
| Start/Stop Times on the Product Description | Adds each timesheet line’s start and stop time (24 hour, e.g. 08:00-10:30) to the end of the product description it posts to your accounting system. Off (the default) adds nothing. All customers adds them to every line. Selected customers only adds them on jobs for customers ticked under ‘Times on timesheet lines’ in Available Customers. If the description is too long for the field, it is shortened to make room for the times. | Off |
| Ask for follow through work on Stop Work | If ticked, tapping Stop Work first asks the technician for any urgent or non-urgent follow through work the job has left behind, and emails what they write to the staff who subscribed to it on their own user record (Settings > Users > Edit User). The prompt only appears once at least one user has subscribed, and each person is only sent the categories they subscribed to. Stop Work is never blocked - the technician can always answer ‘There is no follow through work’. | Off |
| Allow timesheets to be signed off | If ticked, a ‘Sign Off’ button appears on the Scheduler’s Timesheets screen. It opens a list of a staff member’s un-submitted timesheet entries, which a supervisor can authorise one at a time or all at once, and each signed entry then shows a tick naming who signed it off and when. Only users with ‘Can sign off timesheets’ on their own user record (Settings > Users > Edit User), and admins, can sign anything off. Signing off never blocks submission - timesheets can still be submitted whether or not they have been signed off. | Off |
| Admins can un-submit timesheet entries | If ticked, admins see a padlock beside ‘Submitted’ on the Scheduler’s Timesheets screen. Clicking it un-submits the entry: its lines are taken back off the job in the accounting system, and it becomes an ordinary entry again that can be changed in any way - hours, times, job, labour code, date - and submitted afresh. It will not work once the entry has been invoiced. Until it is submitted again the job does not have those hours, and the technician sees the entry as not yet submitted. Only available to users with the Admin role, and only where the accounting system can take a line back off a job (Infusion Elite, with an up-to-date connector, for entries submitted since that connector was installed). | Off |
| Name for urgent follow through work | What to call the first of the two follow through work boxes, when ‘Ask for follow through work on Stop Work’ is turned on. The same wording is used above the box on Mobile, on the matching subscription tickbox in Settings > Users > Edit User, and as the heading in the email that is sent out - so all three always agree. Leave it blank for the default, ‘Urgent follow through work’. | Urgent follow through work |
| Name for non-urgent follow through work | As above, for the second box - the work that can wait. Leave it blank for the default, ‘Non-urgent follow through work’. | Non-urgent follow through work |
| Show ‘Add lunch break’ option | If enabled, lunch breaks can be added from the Timesheet screen on Mobile and from the Scheduler’s Timesheets screen - both the ’+ Lunch’ button on a saved entry and the lunch option while adding one. | Off |
| Lunch Break Job Code | Specifies the Job to use for Lunch Breaks | blank |
| Lunch Break Default Duration | Specifies the default duration for a lunch break in minutes | 30 |
| Exclude Lunch Breaks from Totals | If enabled, timesheet entries for the nominated Lunch Break job will be excluded from the totals shown on the Scheduler and Mobile Timesheet screens. | On |
| Use a default lunch break start time | If enabled, a new lunch break starts at the time set in ‘Default lunch break start time’ below, rather than at the time the break is being entered (Mobile Timesheet) or at midday (Mobile Stop Work and the Scheduler’s timesheet screen). The break still has to fit inside the work being recorded, so on a shift that is over before the set time it moves back to the latest time that fits. Staff can always change the times before saving. | Off |
| Default lunch break start time | The time of day a new lunch break starts, when ‘Use a default lunch break start time’ is turned on. The break runs for the ‘Lunch Break Default Duration’ set above. | 12:00 |
| Show ‘Deduct Lunch Break’ on Stop Work | If enabled, a ‘Deduct Lunch Break’ option is offered on the Mobile Stop Work screen, taking the break off the time entry being saved. Requires a Lunch Break Job Code. | Off |
| Show Scheduled Plant/Equipment on Stop Work | If enabled, a ‘Scheduled Plant/Equipment’ quantity section is shown at the bottom of the Mobile Stop Work screen for jobs with plant/equipment scheduled on them, and any quantities entered are saved to the job as materials when Stop Work is saved. | Off |
| Show Quick Add Products on Stop Work | If enabled, a ‘Quick Add Products’ quantity section is shown at the bottom of the Mobile Stop Work screen listing the tenant’s Quick Add Products, and any quantities entered are saved to the job as materials when Stop Work is saved. | Off |
| Require a Quick Add Product quantity on Stop Work | If enabled, Stop Work cannot be saved until a quantity has been entered against at least one Quick Add Product. Only applies while ‘Show Quick Add Products on Stop Work’ is enabled and the tenant has Quick Add Products configured. | Off |
| Work Notes on Stop Work screen | Whether a ‘Work Notes’ box is shown on the Mobile Stop Work screen. Anything entered is added to the job as a work note when Stop Work is saved. Off (the default) hides the box. Optional shows it and lets it be left empty. Mandatory - All Jobs shows it and will not let Stop Work be saved until a work note has been entered. Mandatory - Admin Jobs and Mandatory - Chargeable Jobs show it on every job, but only require a work note on admin jobs (the Scheduler’s Admin job list, plus the Callout job if one is set) or on chargeable (non-admin) jobs respectively - on other jobs it may be left empty. | Off |
| Timesheet Note on Stop Work | Whether a ‘Timesheet Note’ box is shown on the Mobile Stop Work screen. Anything entered is saved as the Note on the timesheet entry created when Stop Work is saved. Off (the default) hides the box. Optional shows it and lets it be left empty. Mandatory - All Jobs shows it and will not let Stop Work be saved until a note has been entered. Mandatory - Admin Jobs and Mandatory - Chargeable Jobs show it on every job, but only require a note on admin jobs (the Scheduler’s Admin job list, plus the Callout job if one is set) or on chargeable (non-admin) jobs respectively - on other jobs it may be left empty. This is separate from ‘Work Notes on Stop Work screen’, which adds a note to the job instead - the timesheet note is not added to the job’s notes. | Off |
| Disable Mobile Timesheet submission | If enabled, the ‘Save Timesheet’ button will be hidden on the Mobile Timesheet screen, preventing users from submitting timesheet entries. | Off |
| Previous Dates | The maximum number of days in the past a user can enter timesheets for. Set this to 0 to only allow timesheets for the current date. | 0 |
| Auto submit timesheet entries | If enabled, timesheet entries will be automatically sent to Infusion. User are NOT able to edit timesheet entries after they have been submitted. | Off |
| Allow timesheet overlaps | Specifies if a users timesheet entries can overlap | Off |
| Default rounding | The default rounding for new timesheet entries in minutes | 15 |
| Round duration before start/end time | If enabled, the duration is rounded to the nearest rounding interval (minimum one interval) before the start time is rounded and the end time is derived from it, instead of rounding the start and end times independently. | Off |
| Start day for Desktop Timesheets screen | The day of the week to start each period in the Desktop -> Timesheet screen | 1 |
| Enable mid-day submitting timesheets | If enabled, pending timesheet entries for the tenant will be automatically submitted at the time specified by ‘Mid-day timesheet submission time’ each day. | Off |
| Mid-day timesheet submission time | The time of day at which pending timesheet entries will be automatically submitted, when ‘Enable mid-day submitting timesheets’ is turned on. | 12:00 |
| Overnight submit timesheet entries | If enabled, pending timesheet entries from prior days will be automatically submitted overnight. Disable to require these to be submitted manually. | On |
| Show costs in Time Recording Module | If enabled, costs will be shown in the Time Recording module. | Off |
| Timesheet Cost Centre | Enables entry of cost centre against line items for the TimeSheet module. | Off |
| Default Labour Department | The Department in your accounting system that every labour line is coded to, for all labour codes. Pick one from the list of Departments your accounting system reports. Leave it blank to post labour lines as before, with no Department set. Only Infusion Elite has a Department on a job line, so this has no effect on other systems; on Infusion Elite it needs a site connector of version 2026.10.2.0 or newer. | blank |
Service Charge/First Hour fees
| Setting | What it does | Default |
|---|---|---|
| Charge a service fee for the first hour on a job | When enabled, the first part of the labour recorded against a job is charged at a separate, usually higher, service fee labour code to cover travel and callout costs. The rest of the time is charged at the labour code the staff member chose as normal. Staff see no change: they record one timesheet entry, and the split happens only when the time is sent to the accounting system. Requires a service fee product code - either the default below, or one set against the individual staff member in Settings > Users. Without either, nothing changes. | Off |
| Default service fee product code | The product code charged for the service fee portion. Create this as a labour product in your accounting system and price it there at your callout rate - the price always comes from your accounting system, never from Tradie On The Move. Used for everybody who does not have their own service fee product code set against them in Settings > Users, which overrides this. If neither is set, or the code can no longer be found, time is sent unsplit at the staff member’s own labour code and a warning is logged. | blank |
| Service fee covers this many minutes | How much of the job’s labour is charged at the service fee product code. The remaining time is charged at the staff member’s normal labour code. For example, at 60 minutes a 3 hour timesheet entry is sent as 1 hour at the service fee code and 2 hours at the normal code - 3 hours in total, not 4. | 60 |
| Charge the full service fee even on short visits | Controls what happens when a visit is shorter than the time above. When off, only the time actually worked is charged - a 20 minute visit is charged as 20 minutes at the service fee code. When on, the fee becomes a minimum: a 20 minute visit is still charged as a full hour. This is the only setting that can make the invoiced hours exceed the hours on the timesheet. | Off |
| Charge the service fee again | How often one job can attract a service fee. ‘PerDay’ charges it once for each day the job is worked on, so a job that needs three separate visits on three days carries three fees. ‘PerJob’ charges it once only, no matter how many days the job runs for. Either way a staff member who records two entries for the same job on the same day is only ever charged once, and a single overnight shift counts as one day. | PerDay |
| Charge a separate service fee for each staff member | Controls what happens when more than one staff member works the same job. When off, the job is charged one service fee in total and whoever’s time is sent first carries it. When on, each staff member attracts their own fee, within the limit set by ‘Charge the service fee again’ above. | Off |
Timesheet Restrictions Settings
| Setting | What it does | Default |
|---|---|---|

| Setting | What it does | Default |
|---|---|---|
| Job Scheduler | Provides mobile users access to their jobs allocated via the Scheduler/Calendar. | On |
| Show 24 hour mode | If selected, the scheduler will display all 24 hours in the day, otherwise only 5am to 7pm is shown | Off |

| Ensure a memo exists for jobs | On Mobile, ask for a work note when stopping work on a job, unless the user has already added a memo to that job today. Work does not stop until the note is given. Closing a job in the Scheduler is not affected. | Off |
| Minimum work note length | The smallest number of characters accepted in the work note a user is asked for when stopping work, if ‘Ensure a memo exists for jobs’ is on. 0 means any note will do. | 0 |

| Show Infusion -> Assigned Jobs | Provides mobile users access to their jobs assigned to them in Infusion. | On |
| Show Location filter | Shows a Location filter at the top of the Scheduler. Selecting a location limits the calendar to staff assigned to it, and the job list to jobs for it. Staff with no location set are hidden while a location is selected. | Off |
| Admin job list shows WIP jobs only | If ticked, admin jobs drop off the Scheduler’s Admin job list, and the admin jobs offered on mobile, once they are no longer in a WIP status, or are closed. Leave off if your admin jobs (e.g. leave, training) use a status that isn’t marked WIP. | Off |
| Admin jobs cannot have their status changed | If ticked, jobs on the Scheduler’s Admin job list cannot have their status changed from the Scheduler or from mobile. Stop Work on mobile does not ask for a new job status, and Start Work leaves the status as it is. | On |
| Show the job address in the job list | If ticked, jobs in these lists show their site address: the Scheduler’s Pending and Progress lists (first line only, above the job name), and in the Mobile app, the All Jobs list and the job search on the Timesheet and Materials screens. Jobs without a site address are unchanged. This only affects lists - the address on the job itself is ‘Show job site/address information’. | Off |
| Colour jobs by job type | If ticked, every job in the Scheduler’s job lists and every booking on its calendar gets a coloured line along its bottom edge, in the colour chosen for its job type. Once ticked, choose the colours under Job Type Colours in the menu. Job types without a colour are shown as before. | Off |
| Timesheets can book time to any open job | If ticked, the job picker on the Scheduler’s Timesheets screen offers every job that is not Complete or Cancelled in your accounting system, instead of only jobs in a WIP status. Use this if staff need to book time to jobs that have moved on - for example to Ready to Invoice - but are not finished. Completed and cancelled jobs are never offered. | Off |
| Excluded staff (Infusion) | Jobs assigned to these Infusion staff members are hidden everywhere in Tradie On The Move - Scheduler, Mobile, and job search. | blank |

|---|---|---|
| Customer Item Alias | Alternative label to display instead of customer item, e.g. Vehicle Id, Plant Id etc | Customer Item |
| Service Items Alias | Alternative label for a customer item’s usual service parts list, e.g. Service Kit, Maintenance Parts | Service Items |
| Job -> Assigned To Alias | Alternative label to display instead of Assigned To, e.g. Technician, Installer etc | Assigned To |
| Infusion Default GST rate | The default GST rate Sales Quotes will apply to a line when the product has no GST code of its own. | blank |
| Use Delivery Notes as the job description | Infusion Elite only: read and write a job’s description from the job’s Delivery Notes field (DELNOTES) instead of its Job Notes field (JOBNOTES). Turn this on if your jobs carry the detail your technicians need in Delivery Notes. Jobs already downloaded keep the old text until the job list is refreshed from Infusion, and the site’s connector must be up to date. | Off |
| Fallback to Job Header | Infusion Elite only: where a job’s contact has no phone, fax or mobile, use the job’s Delivery phone and fax and then the job header’s own phone, fax and mobile instead. A job with no contact gets one made from the job header’s name and numbers, and a job whose Delivery address lines are all blank shows the job header’s address. Anything the contact or Delivery address already has is left as it is. Jobs already downloaded keep their old details until the job list is refreshed from Infusion, and the site’s connector must be up to date. | Off |
| Split phone numbers and names out of the Site Address | Infusion Elite only: for sites that type names and phone numbers into the Site Details address lines. An address line holding nothing but a New Zealand phone number (for example 03 323 4303) is taken out of the site address. A number starting 02 becomes the job contact’s mobile, any other the contact’s phone, replacing the contact’s own number and the Site Details phone. A line with an address and a number on it is left alone. A person’s name is then looked for: the first address line, if it does not look like an address (no numbers or street words like Road, St, PO Box) and the line under it does; failing that, the Site Details Name field by the same test. A person found becomes the job’s main contact, with the number found or else the Site Details phone, and the linked Infusion contact moves to the second contact. Lines below anything taken out move up. Applied before Fallback to Job Header. Jobs already downloaded keep their old details until the job list is refreshed. | Off |

| Order Jobs by Name | Project Mode only: once a project has been chosen, lists its jobs by job name rather than by job code. Has no effect unless Project Mode is on. | Off |

| Keep an audit of ERP transactions | If ticked, a copy of every transaction sent to your accounting system is kept before it is processed - job notes, materials, timesheets, job status changes, purchase orders, new jobs and job edits. Each record shows who sent it, from which device, what was sent, and whether the accounting system accepted it. Admins can search the records and export them to CSV from Settings > ERP Transaction Audit. | Off |
| Send text to the ERP in upper case | If ticked, text sent to your accounting system is converted to UPPER CASE - job notes and memos, material and timesheet line descriptions and comments, purchase order descriptions, new job and job edit details, and quote notes. Codes, numbers and email addresses are sent as they are, and the copy kept in Tradie On The Move is not changed. | Off |
| Mobile -> Welcome tour on first use | If ticked, the Mobile app offers each person a short “Welcome to Tradie” tour the first time they reach the Home screen on a phone or tablet - a minute or so, set up for this company’s screens, and skippable at any point. Unticked, it is not offered, but anyone can still take it from Settings > Help in the app. | On |
| Mobile -> Full-screen note editor | If ticked, tapping a notes box in the Mobile app - a job’s work notes, a timesheet note, a form’s written answer - opens it full screen, so a long note can be written using the whole screen. Done or the phone’s back button returns to the screen it came from, with the note filled in. Unticked, notes are typed in the box on the screen itself. Notes boxes grow to fit what is typed either way. | Off |
| Transaction Search | Enable transaction search from home page. | On |

| Show View Transactions button | If enabled, the View Transactions button will be available on the homescreen. | Off |
