Put someone on call
Switch a team member on or off call now, or book their on-call time ahead.
Being on call is what earns a team member their on-call allowances. Switch them on call from the calendar the moment they take over, or book the time ahead for a weekend you have already rostered. The calendar shows who is covering at a glance.
Switch someone on or off call now
Step by step: switch someone on call
- Right-click the team member’s name on the calendar.
- Click On call.
They are on call from that moment until someone switches them off. On call carries a tick while they are on call, and clicking it again switches them off. Their row turns teal and a phone icon appears beside their name. Hover over the icon to see until when.
Book on-call time ahead
Step by step: book on-call time
- Right-click the team member’s name on the calendar.
- Click Book on call….
- Check From and Until, and change them if needed.
- Add a Note if it helps, such as Covering for Sam.
- Click Book.
From and Until open on the next window of the first allowance the person holds, so booking this weekend is usually one click on Book. Someone with no allowances gets tomorrow 17:00 until 07:00 the morning after.
A booking ahead shows as an outlined phone icon until it starts. On the calendar’s time grid, every stretch of on-call time is drawn as a light band across the person’s row, so a dispatcher looking at Saturday sees who is covering it.
From the Edit User form
The On call section of a team member’s Edit User form, under Company > Users, holds everything about their on-call time in one place:
- On call now switches them on or off from this moment. It takes effect straight away, with no need to Save.
- Allowances lists every allowance, with the ones they hold ticked. Tick or untick and click Save with the rest of the form. Only admins can change these.
- On-call time lists their on-call time from the last week onwards, switched on or booked. Edit and Remove change a stretch of time, and Book on call adds one. Leave the end blank for “until switched off”.
A new user has to be saved first. Open them again to put them on call or give them allowances.
What happens next
Allowance lines appear on the person’s timesheet as they earn them: once a window they are on call in has begun, and as they save time on jobs while on call. Change or remove their on-call time and the allowances are worked out again, except for lines already sent to your accounting system.
Good to know
Changing the past
Anyone who can use the Scheduler can switch people on and off call and book time ahead. Only an admin can change on-call time that has already happened, because rewriting the past would move allowance lines that may already be paid. Without the Admin role you can still end a running stretch now or later, but not earlier than now, and you cannot book time that has already begun.
Removing on-call time
Removing a stretch of on-call time also takes off any allowances it earned that have not been sent to your accounting system yet.
